Personal Assistant to the CEO

This person will play a crucial role in supporting the CEO, enabling her to focus on strategic decision-making, managing relationships, and leading the organisation effectively. The ideal candidate is reliable, proactive, discrete, and possesses excellent organisational and communication skills to handle the demands of the role successfully.

Key Responsibilities
  • Act as a right-hand to the CEO across her personal and professional requirements
  • Assist the CEO in managing relationships with her stakeholders, such as personal staff and professional executives, board members, clients, partners etc, which may involve communication as a go-between, coordinating meetings and taking meeting notes, arranging events, and facilitating effective relationships overall
  • Manage the CEO’s diary, including scheduling meetings, appointments, and making bookings, to ensure that the CEO’s time is optimized and that she is well-prepared for her commitments
  • Support the CEO on internal and external communications as directed. This may include screening and drafting emails and other correspondence, drafting and proofreading documents, website updates, and preparing reports and presentations
  • Research, coordination, and execution of special projects or initiatives as directed by the CEO
  • Make travel and transportation arrangements for the CEO and her key stakeholders
  • Organize and maintain important documents, files, and records, including strategic plans, financial data, and other sensitive materials
  • Maintain a high level of discretion and confidentiality in handling sensitive information and confidential matters
  • Perform various ad-hoc tasks and errands as needed or requested by the CEO for the optimisation of her personal and professional effectiveness.

  • Strong project management and administration skills – able to multitask, manage your time well, and comfortable working to tight deadlines
  • Excellent verbal and written communication skills, including strong listening skills
  • Utmost professionalism, discretion, and confidentiality
  • Adaptable and flexible, able to adjust to changing priorities, handle unexpected situations, and work well under pressure; a willingness to learn
  • Strong problem-solving and critical thinking skills to address issues independently and efficiently
  • Skilled in using productivity software, such as word processing, spreadsheets, and calendar management tools
